# Stakeholder Meetings

Stakeholder review meetings are gatherings where individuals with a vested interest in a project or business activity come together to discuss its progress, challenges, and future direction. These individuals, known as stakeholders, can include employees, clients, investors, partners, or even community members.&#x20;

By effectively conducting stakeholder review meetings, organisations can improve project outcomes, enhance collaboration, and build stronger relationships with their stakeholders.

#### Benefits

* **Shared understanding**\
  These meetings create a common understanding of the project's goals, objectives, and current status among all stakeholders.
* **Open communication**\
  They provide a platform for open and honest communication, allowing stakeholders to express their concerns, feedback, and suggestions.
* **Collaboration**\
  Stakeholder review meetings encourage collaboration and teamwork among different departments and individuals involved in the project.
* **Risk mitigation**\
  By identifying and addressing potential risks early on, these meetings help minimise negative impacts on the project.
* **Decision-making**\
  Stakeholder input can help inform important decisions and ensure that the project aligns with the overall business strategy.
* **Building relationships**\
  These meetings foster strong relationships between stakeholders, which can be beneficial for future collaborations.

#### The Process

1. **Clear objectives**\
   Define the specific goals and objectives of the meeting beforehand.
2. **Agenda**\
   Prepare a detailed agenda and share it with all participants in advance.
3. **Active participation**\
   Encourage active participation from all stakeholders, providing opportunities for questions and discussion.
4. **Time management**\
   Stick to the agenda and time allocated for each topic to ensure efficient use of time.
5. **Action items**\
   Document action items and assign responsibilities to specific individuals.
6. **Follow-up**\
   Send out meeting minutes and follow up on action items to ensure accountability.

#### Stakeholder Meeting Types

* **Kickoff meetings**\
  These meetings are held at the beginning of a project to introduce stakeholders to each other, set expectations, and align on the project's goals, objectives, scope, timelines, and roles.
* **Status update meetings**\
  These meetings are held periodically to provide updates on the project's progress, discuss any challenges or issues, and address any concerns.
* **Decision-making meetings**\
  These meetings are held to discuss and make important decisions related to the project's direction or future.
* **Review meetings**\
  These meetings are held to review specific deliverables or milestones of the project.
* **Close-out meetings**\
  These meetings are held at the end of the project to evaluate its overall success, identify lessons learned, and celebrate achievements.
